Ministry of Buildings & Grounds:.

Inspect all church property at least once a year.

Prepare & keep an annual property inventory.

Prepare and keep current a list of equipment & supplies.
-
Oversee the church’s insurance program, being diligent to assure
adequate coverage.

Monitor utility use & expenses.
-
Make recommendations to the Session for improvement projects, including
capital improvement projects.
-
Maintain the manse and church grounds, buildings & equipment, including
medical equipment, in accordance with budget constraints.
-
Maintain the church parking lots and drives. Arrange for
snow removal when needed.
-
Supervise the work of contractors and employees responsible for
cleaning, upkeep and maintenance of church property.

Make recommendations to the Session concerning:
-
Use of church facilities and equipment by nonmembers.
-
Off premises use of church equipment.
-
Make recommendations to the Session regarding the acceptance of
donations or real estate and/or other gifts.
-
Supervise the loaning of all church-owned hospital and sick room
equipment including wheelchairs, hospital beds, crutches, etc
Ministry Of Compassion:
.
- Promote a ministry of caring and compassion among
the members and friends of the church.
- Provide members of the “In Crowd” with a taped
copy of the Sunday worship service each week (tape ministry).
- Arrange transportation to church activities for
members of the “In Crowd”.
- Coordinate the Shepherding Program
- Assign an Elder or other church member
(Shepherd) to each member of the church.
- Provide training and information needed by
Shepherds to accomplish the goals of the Shepherding Program.
- Review & revise Shepherd assignments each
year.
- Coordinate activities of the Bereavement
Committee.
- Determine whether the family desires a light
lunch or snack before or after the funeral.
- If lunch or a snack is to be provided, notify
the appropriate Bereavement Committee member of the family’s
desires.
- Conduct the Card Ministry by sending
- Birthday and holiday cards to members of the
“In Crowd”.
- Birthday and graduation cards to college
students.
- Sympathy cards to families who have lost loved
ones.
Ministry of Education:
.
- Recruit and train Sunday School teachers, youth
advisors, Vacation
Bible
School
coordinator(s) and teachers,
Junior
Church
teachers. The Director of Christian Education will assist
with training.
- Recommend teachers to the Session before their
teaching responsibilities begin. Session approval of
Christian Education personnel is required.
- Promote participation in educational activities
sponsored by Salem Presbytery and other governing bodies.
- Provide published educational materials for church
members.
- Oversee the library, children’s library, computer
room and supply room.
- Provide for confirmation classes for the youth in
conjunction with the minister.
- Make recommendations to the Session for
educational materials to be used by Sunday School classes, Youth Groups,
Junior
Church and Vacation Bible
School classes.
Approval should be obtained prior to ordering materials.
Presbyterian curriculum is exempt.
- Make recommendations to the Session pertaining to
participation of church groups in conferences, leadership training and
educational activities.
- Assure the nursery is staffed during Sunday School
and worship services.
- Maintain an up-to-date listing of all infants and
children in the Church with their birthdays and display appropriately.
Ministry to the Staff:
- Plan and oversee all areas of personnel
administration including:
a.
Personnel policies
b.
Periodic, annual and exit interviews with staff members
c.
Annual evaluations of staff members
d.
Annual review of staff compensation
e.
Resolution of conflict among staff
f.
Continuing education for staff
- Facilitate open communications between members of
the staff and the congregation.
Ministry of Worship & Music:
- Make sure the sanctuary, fellowship hall and other
areas to be used for worship are appropriately equipped and comfortable.
Communicate maintenance concerns that affect the worship
experience to the Ministry of Buildings and Grounds.
- Maintain an adequate supply of offering envelopes
in pew racks.
- Oversee the music ministry in consultation with
the Minister, Music Director and Worship Leader.
- Arrange for guest ministers. Provide
information for reimbursement to the church bookkeeper.
- Make recommendations to the Session concerning
special worship services.
- Plan and oversee Holy Communion in consultation
with the Minister.
a.
Assign responsibilities to the Elders for serving of Holy
Communion.
b.
Prepare and dispose of Communion elements appropriately.
c.
Maintain Communion ware.
- Oversee Ushers.
a.
Recruit and train a group of ushers which are
representative of the congregation.
b.
Schedule ushers for all worship services, including any
special services.
- Arrange for the collection of offerings.
Finance Commitee:
- Direct the preparation of the annual church
budget.
- Provide offering envelopes to the families of the
church.
- Make monthly, quarterly, and annual financial
reports to the Session.
- Prepare and submit an annual financial review
(audit) of all church financial accounts to the Session.
- Provide quarterly and annual contribution reports
to all contributors.
- Provide the congregation with written quarterly
and annual financial reports. Reports given to the
congregation should be similar to those given to the Session.
- Receive all monetary and in-kind special donations
and recommend where they might best be utilized. All
special donations will be received following approval by the Session.
- Count, record & deposit all offerings.
- Provide oversight for the accounting of all Church
funds assuring adequate internal controls.
Ministry of Stewardship:
1.
Challenge the people of God throughout the year with the
privilege of responsibilities Christian stewardship of money, time and
talents. This includes the coordination of an annual
Every Member Canvass of the members and friends of Hawfields.
2.
Review the giving records of the members of the
congregation on a regular basis and encourage regular giving.
3.
Make recommendations to the Session regarding benevolent
contributions, special campaigns and/or special offerings including:
a.
Helping Hand Fund (Communion Services)
b.
Pennies for Hunger Offering (monthly)
c.
Souper Bowl of Caring Offering
d.
Hawfields Student Aid Offering
e.
One Great Hour of Sharing
f.
Mother’s Day Offering (Presbyterian Women)
g.
Pentecost Offering
h.
College Student Fund Offering
i.
Peacemaking Offering
j.
Thanksgiving Offering
k.
Joy Offering
l.
Staff Love Offering

One Great Hour of Sharing
4.
Provide members of the congregation with Time and Talent
(Volunteer) forms in order to enable every member and friend of the Church
to discover their God-given talents and to find a place to share the talent
in the Church.
5.
Provide information to the congregation about planned
giving including:
a.
Insurance and annuities
b.
Material gifts (Gifts in kind)
c.
Memorial/Honor Gifts
6.
Educate the congregation about the ministries and missions
of the Church and how they can support them.
Ministry of Outreach and Communication:
1.
Promote recruitment of new members and assist their
assimilation into the life of the church by coordination and overseeing:
a.
Collecting Friendship Register sheets after each worship
service.
b.
Recording of Friendship Register information into the
Visitor’s Book (in church office).
c.
A follow-up plan for each visitor.
d.
Introduce visitors and potential new members to the staff
and the Church through personal introductions, announcements, e-mailed
information, photographs, etc. Facilitate the
assimilation of regular visitors and new members into the life of the
congregation.
e.
Work with staff to plan an Inquirer’s Class to inform new
people about the church.
2.
Plan and coordinate a program of outreach by the Hawfields
congregation.
a.
Provide training in welcoming skills to officers and church
members.
b.
Provide a program to reach out to newcomers in the
community.
3.
Witness for Christ and for Hawfields Church
through the proper use of publicity, including printed materials; highway
signs, radio & newspaper coverage.
4.
Recruit, train & assign Greeters for all worship services.
5.
Prepare and maintain bulletin boards, internet web site,
email listing of members, newsletter and other communication activities.
6.
Oversee maintenance of exterior and interior signage.
